When you're preparing a new hire to join your company, you may want to collect their details before adding them as an official headcount in StaffAny. The Onboarding flow lets you send a new joiner form, track submission progress, review the submitted details, and then complete the process by adding the person into your organization.
This guide will cover how to:
Onboard New Hires
Go to HR > Onboarding > Start Onboarding
Under Onboarding Setup, select a New Joiner Form
You can add up to 50 new hires during this process. Under New Hire Details, enter the new hire's:
First Name
Phone Number (new hire will receive SMS to this number containing the URL to their new joiner form)
Repeat the step above for each new hire you want to add.
Click Start Onboarding. The new hires will receive an SMS containing the new joiner form URL. At this point, the new hires are not counted towards the headcount in StaffAny.
Review Submitted Onboarding Details
Go to HR.
Click Onboarding.
Review the onboarding list.
To add new hire as staff as official headcount in StaffAny:
Open the relevant onboarding entry.
Review the submitted information by tab.
Click Add Staff if you are ready to continue adding the employee into StaffAny.
Fill out the mandatory parts if it’s not been filled yet. The rest of the fields can be filled at a later time. The mandatory fields are:
First Name
Phone Number
Contract Type
Access Level
Sections
Effective Date
Citizenship (and the fields related to each type of citizenship)
Identity Type
Identity Number
Payment Method
Fields in custom employee fields section

Q: Do I need a new joiner form before I can start onboarding?
Yes. Onboarding requires you to have (and select) an active New Joiner Form.
Q: Can I start onboarding for multiple new hires at once?
Yes. You can add multiple new hire rows in one onboarding setup, up to 50 rows.
Q: Can I select different forms for different new hires in the same onboarding setup?
No. The onboarding currently setup supports selecting one new joiner form for the new hires being added in that setup. If you need to use different forms,then you need to start multiple onboardings.
Q: Can new hires open the form without logging in?
Yes. The form is served through a public web link. Anyone with the link can fill out the form. Forms created during the onboarding process are linked to new hires’ name and phone number.
Q: When does a new hire become an official headcount?
The new hire is not counted as an official headcount yet until they are added as staff.
