Manage Pending Requests from the Inbox

Learn how to review and take action on pending timesheet and leave requests from the Inbox.

The Inbox is a central page on the StaffAny web app where owners and managers can view and action all pending requests from their team. Instead of navigating to individual timesheet records, you can approve or reject unscheduled shifts, work more requests, edit attendance requests, missing clock-outs, leave applications, claims, and reward redemptions from one consolidated view.

This guide will cover how to:


1. Access the Inbox

To access the Inbox:

  1. Log in to StaffAny on Web.

  2. Click Inbox in the main navigation menu.

  3. You will land on the Tasks tab by default where you can keep track of task progress that are running in the background.

  4. Use the left sidebar to navigate between request types.


2. Review and Action Timesheet Requests

Under Timesheet Requests in the sidebar, you will find four sub-sections. Each displays a count badge for pending items you are authorised to action.

Unscheduled Shifts

Unscheduled shifts are clock-in/clock-out records that occurred outside a scheduled shift. To review:

  1. Go to Inbox > Timesheet Requests > Unscheduled Shifts.

  2. Review each record — employee name, section, date, time in, time out, and break duration are shown.

  3. Click Approve or Reject on individual rows, or use the checkbox to select multiple rows and click Bulk Approve or Bulk Reject (up to 50 records at a time).

Edit Attendance Requests

Edit Attendance Requests are submitted when an employee needs to correct a clock-in or clock-out record. To review:

  1. Go to Inbox > Timesheet Requests > Edit Attendance.

  2. Review the requested time correction.

  3. Click Approve or Reject on each row.

Work More Requests

Work More Requests are submitted by employees requesting overtime or additional hours beyond their scheduled shift. To review:

  1. Go to Inbox > Timesheet Requests > Work More.

  2. Review employee name, section, date, and requested hours.

  3. Click Approve or Reject on each row.

Missing Clock-Outs

Missing Clock-Outs lists employees who clocked in but did not clock out. To review:

  1. Go to Inbox > Timesheet Requests > Missing Clock-Outs.

  2. Review each record and take action to resolve the missing clock-out.


3. Review and Action Leave Applications

To approve or reject leave applications:

  1. Go to Inbox > Leave Applications.

  2. Review the application details — employee, leave type, dates, and duration.

  3. Click Approve or Reject.

Note: Leave approval routing follows your organisation's approval chain settings. You will only see applications that are pending your action.


4. Review and Action Claims

Claims appear in the Inbox only when Claims & Payroll is enabled for your organisation. To review:

  1. Go to Inbox > Claims.

  2. Review each claim submission — employee, claim type, amount, and supporting attachments.

  3. Click Approve or Reject.


5. Review and Action Reward Redemptions

Reward Redemptions appear in the Inbox only when the EngageAny module is enabled. To review:

  1. Go to Inbox > Reward Redemptions.

  2. Review each redemption request — employee, reward name, points cost.

  3. Click Approve or Reject


6. Use Bulk Approve or Bulk Reject

Bulk actions are available on the Unscheduled Shifts and Leaves Application tab. To bulk approve or reject:

  1. Go to Inbox > Timesheet Requests > Unscheduled Shifts.

  2. Check the checkbox next to each row you want to action. You can select up to 50 records at a time.

  3. Click Bulk Approve or Bulk Reject in the action bar that appears above the table.

  4. Confirm the action when prompted.

Note: Bulk actions are not available on Work More, Edit Attendance, Missing Clock-Outs, Leave Applications, Claims, or Reward Redemptions tabs.


7. FAQ

Q: I don't see a Timesheet Requests or Leave Applications section in my Inbox. Why?

Each section only appears when you have pending items to action. Check your organisation's attendance approval and leave approval settings to confirm you are assigned as an approver.

Q: Why can't I see Claims or Reward Redemptions in my Inbox?

Claims appear only when Claims & Payroll is enabled. Reward Redemptions appear only when the EngageAny module is active. Contact your StaffAny admin to check your plan and module settings.

Q: What is the maximum number of records I can bulk approve or reject at once?

You can bulk select up to 50 records at a time for Unscheduled Shifts and Leaves

Q: I rejected an unscheduled shift. Can I undo it?

Rejected records cannot be reversed from the Inbox.
