Creating and Managing Company Policies

Learn how to use company documents on the webapp

Use Company Policies to share official company handbooks and policies and track staff acknowledgements. Upload documents, set who can view and acknowledge each policy, publish them to eligible staff, and track acknowledgement progress.

Adding Company Policies

To add a new company policy:

  1. Go to HR > open Company Policies in the sidebar

  2. Click Add Company Policy.

  3. In the modal:

    1. Enter a policy name.

    2. Upload a PDF file from your device. Maximum file size: 10 MB.

    3. Under Access, choose who can view and acknowledge this policy. By default, all staff can access it. See Setting the Audience for details.

  4. Click Add.

  5. The new policy appears in the table with draft status.


Setting the Audience for a Company Policy

You can control which staff can view and acknowledge each Company Policy using audience filters. Staff who do not match the audience will not see the document in the mobile app and cannot acknowledge it.

Audience filters can be set when adding a new policy, or edited later from the policy's settings.

Available filters

You can filter by any combination of:

  • Contract Type

  • Section

  • Role

How filters combine:

  • Multiple selections within the same filter group match with OR — e.g. Section A or Section B.

  • Different filter groups combine with AND — e.g. (Section A or Section B) and (Full Time or Part Time).

Audience is dynamic: the list of eligible staff updates automatically as staff join or leave matching filter criteria. No need to re-publish when your team changes.

Setting audience when adding a policy

  1. In the Add Company Policy modal, go to the Access section.

  2. By default, all filter options are selected (all staff). To restrict access, deselect options or clear a filter group to choose specific values.

  3. Click Add to save the policy with the selected audience.

Editing audience after saving

  1. On the Company Policies page, open the ⋮ (more) menu for the document > click Edit.

  2. Update the Access filters as needed and save.

  3. If the document is already published, changes take effect immediately — newly eligible staff gain access and are notified; staff who no longer match lose visibility.


Publishing and unpublishing company policies

Publishing Company Policies

Documents start as Draft. Only Published documents are visible to eligible staff and can be acknowledged.

To publish a document,

  1. On the Company Policies page, find the document and click Publish.

  2. In the confirmation modal, click Publish to confirm.

  3. The following behavior happens:

    1. Only staff who match the document's audience filter receive an in-app notification.

    2. They can view and acknowledge the document directly from the mobile app.

    3. Acknowledgement tracking starts. The Acknowledgements column shows how many eligible staff have acknowledged the document (e.g. 5/10).

Unpublishing Company Policies

To unpublish a document,

  1. On the Company Policies page, find the published document and click Unpublish.

  2. In the confirmation modal, click Unpublish to confirm.

  3. The following behavior happens:

    1. Staff can no longer see the company policy in the mobile app.

    2. No new acknowledgements are recorded after the document is unpublished.

    3. Existing acknowledgement records are kept for your reference and in the Acknowledgement Report.

    4. You can publish the document again later to make it visible to staff again.


Managing Company Policies

Editing policies

You can edit the document name and audience filters at any time.

  1. On the Company Policies page > open the ⋮ (more) menu for the document > click Edit.

  2. Update the document name or access filters and click Edit to save.

To replace the file, delete the document and add a new one with the updated file.

Deleting policies

All data for deleted documents will be removed and can no longer be retrieved.

  1. On the Company Policies page > open the ⋮ (more) menu for the document > click Delete.

  2. In the confirmation modal, click Delete to confirm.

  3. The document and its data are permanently removed from StaffAny.

Downloading policies

  1. On the Company Policies page, click Download for the document.

  2. Choose one of:

    1. Document – downloads the PDF.

    2. Acknowledgement Report – downloads a report of who has acknowledged the document, including each staff member's eligibility status. Only available when at least one person has acknowledged it.


FAQ

Q: What file types can I upload for company policies?

Only PDF files are supported, with a maximum size of 10 MB per file.

Q: Can I replace the PDF after adding a document?

No. You can only edit the document name and audience filters. To use a new file, delete the document and add a new one.

Q: Can I upload or download multiple company policies at once?

Bulk upload and download are not supported at the moment. If you need this, please tell us via the help chat.

Q: How do staff acknowledge company policies?

Staff see published company policies in the mobile app, but only if they match the document's audience. They can view the document and acknowledge it. This action is counted as an acknowledgement.

Q: What happens if the audience filter matches no active staff?

The acknowledgement count shows 0/0. The policy remains visible to admins and the Acknowledgement Report is still downloadable if it was previously acknowledged.
