Choose How Pay Item Formulas Appear in Payslips

Learn how to show full, simplified, or hidden pay item formulas in payslips.

Choose how pay item formulas appear across your organisation's supported payslips. This setting changes how a formula is displayed, but it does not change pay calculations or final amounts.

Choose a formula display mode

Note: This setting is available when combined bank files and payslips are enabled for your organisation.

  1. Go to Settings > Payroll.

  2. Scroll to Payslip Setting.

  3. Under Pay Item Formula in Payslip, select

    1. Full

    2. Simplified (Time x Rate), or

    3. Hidden

  4. Click Save.

The saved mode applies at organisation level to supported Payroll payslips, Payment payslips, downloaded payslip output, and the payslip preview for unpublished payrolls.

Mode

What appears

Full

Shows the complete formula, including multipliers.

Simplified (Time x Rate)

Shows Time × effective Rate when applicable, or a concise resolved summary for other formulated items. Fixed-amount items show no formula.

Hidden

Hides formula text while keeping the pay-item name and amount.

Note: The setting applies to newly generated and regenerated unpublished payslips across Payroll, Payment, downloads, and Edit Payroll preview. It does not change payroll calculations, and published payslips do not change.


Frequently asked questions

Q: Why does a payslip still show the previous formula format?

A: Regenerate the unpublished payslip after saving the new mode. Published payslips do not change when this setting is updated.

Q: Does the setting affect pay calculations?

A: No. It changes only how the formula is displayed. Pay item amounts, totals, payroll approval, payment, reporting, and employee payslip access keep their current calculation and data behavior.

Q: Does the setting affect all employees?

A: Yes. It is an organisation-level setting that applies consistently to supported payslip surfaces for all employees.

Q: What happens to fixed-amount pay items in Simplified mode?

A: A fixed-amount item shows no formula in Simplified mode. Its name and final amount remain visible.

Q: Who can change the display mode?

A: Organisation Owners who can edit Payroll settings can change it.

Q: What is the default mode?

A: New organisations use Simplified. For existing organisations, the previous enabled checkbox becomes Full, while the previous disabled checkbox becomes Simplified.
