Set Up Shift Visibility

Learn how to customise how long scheduled shift cards stay visible in the mobile app after the shift ends.

By default, a scheduled shift card in the mobile app disappears 6 hours after the shift's scheduled end time. If your staff regularly work beyond their scheduled hours, they may lose the ability to clock out because their shift card has already disappeared.

With Shift Visibility Settings, Owners can customise how long scheduled shift cards stay visible in the Daily tab of the mobile app after their scheduled end time; from 6 to 24 hours.

This guide will cover how to:


Set Up Shift Visibility

To set up shift visibility:

  1. Go to Settings > Time & Attendance > Attendance Approval > See Shift Visibility Settings

  2. Enter the number of hours you want shift cards to remain visible after the scheduled end time. You can only put the numbers between 6-24 hours.

  3. Click Save. Shift visibility is updated

Note:

  • Only Owners can change this setting.

  • The minimum value is 6 hours and the maximum value is 24 hours. Hours must be whole numbers.

  • The default value is 6 hours. Changing the limit requires confirmation.

  • This feature is available on web and mobile app only. It is not available on the Web Timeclock.


Understand Shift Visibility

Once the setting is saved, shift cards in the mobile app's Daily tab follow this rule:

  • A scheduled shift card is visible until: Scheduled End Time + Shift Visibility Hours.

  • After that window closes, the shift card disappears and the staff member can no longer clock out from it.

Example: See below example the shift ends at 11:00 AM on 3rd of August. Since the visibility is set to 24 hours, thus the shift card remains visible until 11:00 AM on 4th of August. Staff can clock in, clock out, or submit overtime requests any time within this window.

Additional rules:

  • This applies to scheduled shifts only. Unscheduled Clock In / Clock Out (UCICO) is not affected.

  • The visibility window applies regardless of whether Work More Request or Manual Overtime Request is enabled.

  • Edit Attendance Request (EAR), Work More Request (WMR), and Manual Overtime Request (MOR) can be submitted within the extended visibility window from the Daily tab, or any time from Profile > My Timesheet — even after the shift card has disappeared from Daily.


Submit Requests After Shift Card Disappears

This section is for staff members (employees) who need to submit requests after their shift card has disappeared from the Daily tab.

If a shift card has disappeared from the Daily tab, staff can still submit Edit Attendance Request (EAR), Work More Request (WMR), or Manual Overtime Request (MOR) from the Pix Timesheet:

  1. Open the mobile app and go to Profile > My Timesheet.

  2. Navigate to the date of the shift.

  3. Tap the shift row to see available actions (EAR, WMR, or MOR depending on your organisation's settings).

  4. Submit the request as usual.

Note:

  • The shift must appear in the timesheet (i.e. you were scheduled for it and it is within an unlocked timesheet period).

  • Available request types depend on your organisation's overtime settings. Not all orgs have WMR or MOR enabled.

  • This applies to scheduled shifts only. UCICO shifts follow their own rules.


FAQ

Q: Can I set the visibility to less than 6 hours?

A: No. The minimum is 6 hours, which is also the default. You can only increase the window, not reduce it below 6 hours.

Q: Does this affect all organisations or only mine?

A: The setting applies to your organisation only. Each organisation can configure its own shift visibility window.

Q: Does this change how Work More Requests or Manual Overtime Requests work?

A: No. The visibility window only controls how long the shift card appears in the Daily tab. Your existing overtime approval settings are not affected.

Q: Does the extended window apply to UCICO shifts?

A: No. Unscheduled Clock In / Clock Out (UCICO) shifts are not affected by this setting.

Q: My staff still cannot clock out even within the visibility window. What should I check?

A: Check whether the timesheet is locked, or whether the shift is a UCICO shift (not affected by this setting). If the issue persists, contact your manager or StaffAny support for assistance.

Q: The shift card has disappeared from Daily. Can my staff still submit EAR, WMR, or MOR?

A: Yes. Go to Profile > My Timesheet in the mobile app, navigate to the shift date, and submit the request from there. The Pix Timesheet shows all scheduled shifts regardless of the visibility window.
