This guide will cover the following:
Career History
Career history allows you to view, plan, and manage your staff's employment history. To locate the career history, click on the staff’s individual information on the My Team page.
Career Transition
With Career Transition, you can plan future promotions, reallocations, or salary increments for your staff. You can also use these job transitions as historical records of your staff's past entitlements.
Add New Transition
To add a new transition, follow these steps:
Click on the Add Transition button.
You will be directed to a new page with several input sections to fill in.
Set the effective date for your new career transition. The system automatically retrieves the latest compensation and leave grade information from the previous effective date.
Note: The effective date cannot be set on the same day or a day before the timesheet lock.
Configure your wage structure, including basic rates and overtime rates. You can also create new job titles and departments or select from existing ones. Some of the key settings:
Job Title: Create new job titles or choose from existing options.
Department: Create new departments or choose from existing options.
General Wage Setup:
Wage Type
Working Days per Week
Proration Settings
Basic Rate
Overtime Setup:
Overtime Rate
Daily and Weekly Overtime Limits
Leave Promotion
When adding a transition, you can optionally modify your staff's annual leave entitlement by changing their leave grades upon transitioning. If a staff member doesn't belong to any leave grade for a particular annual leave type, this section won't be visible. See how to set up a Leave Grade.
Click Save to save the transition. There are some conditions for saving.
If the effective date is in the future, it will be scheduled for future compensation.
If the effective date is today, the newly created transition will be the current Timesheet and compensation data.
If the effective date is set to the past, the transition will override the past timesheet data.
Edit Career Transition
You can edit some of the existing transitions. When you edit, all changes will affect timesheets, whether it is from past compensation or scheduled career transitions. To edit, click on the Edit button.
You can only edit the Department, Job Title, and Remarks for compensations with an effective date on the same day or the day before the timesheet lock.
Delete Career Transition
Deleting compensation, whether it’s a history or the current compensation, will remove all of the compensation and replace it with the previous compensation.
For example, today is 23 October 2024:
Future Compensation, effective date on 1 December 2024:
Manager, $1,500 per month, Leave grade 8-15 days.Current compensation, effective date on 1 January 2024:
Associate Manager, $1,300 per month, Leave grade 8-15 daysPast Compensation, effective date on 1 October 2023:
Assistant Manager, $1,000 per month, leave grade 7-14 days
If you delete the current compensation (effective date on 1 January 2024), the compensation will change all of the timesheets within that time period to the past compensation (effective date on 1 October 2023).
However, if a timesheet lock is present in the middle of compensation, you cannot delete a compensation that is effective on the same day or a day before the timesheet lock.
For example, if we follow the previous arrangement and the timesheet lock was set on 1 December 2024, you cannot delete past compensation (effective date on 1 October 2023) since it was before the timesheet lock date (1 December 2024)
