Web Timeclock: Clock in/out without using smartphones!

Let your staff clock in/out on-site using facial detection + pin code!

Now, even your staff without a smartphone or cannot access Google Services can clock in with StaffAny!

All you need is a shared device with a camera or your POS device. Your staff will key in their unique PINs. Please contact us through our Customer Support Team to get your staffs PIN!

After keying in, staff presents their faces to the POS device for Facial Detection. When facial detection is successful, staff are clocked in.

Note: We recommend using the mobile app if possible to clock in and out. Only use Web Timeclock if the staff has no smartphone. Learn more about clocking in and out here!

This guide will teach you the following:

Setting up 

  1. Go to timeclock.staffany.com to access the Web Timeclock on the shared device.

  2. Log in (only Managers and Owners are allowed to log in).

  3. Select organization and section to set up Web Timeclock.

Note:

  1. Once the organization and section are selected by managers, no one else can change it apart from logging out.

  2. The OTP for the WebTimeclock will be sent through SMS instead of WhatsApp! Make sure that your number is able to retrieve an SMS.

How It Works

Scheduled Shifts

  1. Select a user from the staff list on the left.

2. Users enter their unique 4-digit PINs.

Note: The PINs are generated by StaffAny. They are static PINs that do not change. The PINs are uniquely assigned to each user and can even be used across multiple organizations

3. Users will see their assigned shifts. Click “Check-In”.

4. User’s face will be detected and matched with their PIN when they check-in / check out / work more.

Note: Facial detection is enabled by default. If your shared device does not have a camera, a prompt will be displayed. Learn how to disable Facial Detection here.

5. After facial detection is successful, staff will be checked in.


Unscheduled Shifts/Flexi Attendance Method

If your staff has no shifts scheduled but is required to work, they may select “Send Unscheduled Shift Request”.

This is also applicable for users in Flexi attendance method. Flexi users will follow the same clock in and out process as Unscheduled Shift. The difference is that Flexi shift is auto-approved. Learn more on Flexi Attendance here.

If the staff has a scheduled shift but selects “Send Unscheduled Shift Request”, a pop-up will appear.

Note: Unscheduled Shifts follow the same clock in and out process as Scheduled Shifts. The only difference is owners/managers have to approve/reject their unscheduled shifts. Learn more on approving/rejecting unscheduled shifts here.

If the unscheduled shift is approved/rejected, the following will be displayed.


Web Timeclock Settings

Enable/Disable Facial Detection

You can enable/disable Facial Detection by following these steps:

  1. Go to Settings > Sections.

  2. Select a Section.

  3. Click Attendance & Timeclock and scroll down to Additional Timeclock Method.

  4. Enable/disable facial detection.

Setting up iPad Safari for optimal usage

To ensure that you stay logged in at all times, please configure your ipad settings and/or browser settings accordingly as follows:

Choose Safari > Preferences, click Privacy, select a “Cookies and website data” option, we recommend you to choose the following: "Allow from websites I visit" or "Always Allow"

Allow from websites I visit: Safari accepts cookies and website data only from websites you visit. Safari uses your existing cookies to determine whether you have visited a website before. Selecting this option helps prevent websites that have embedded content in other websites you browse from storing cookies and data on your Mac.

Always allow: Safari lets all websites, third parties, and advertisers store cookies and other data on your Mac.

P.S.: Clocking in on mobile app and Clocking in on Web Timeclock is seamless! For example, staff clocks in on mobile app, but if at the end of day staff's phone ran out of battery, staff can clock out on the Web Timeclock
