Learn how to set up Work More Approval feature and approve/reject Work More Request from Staff

The Work More Approval feature empowers Managers and Owners to review and approve 'Work More' hours submitted by staff before these hours are officially incorporated into their work records.

With this feature enabled, there's no need to worry about staff clocking unapproved 'Work More' hours, eliminating the hassle of editing the Timesheet for such hours.

Once Work More Approval is activated in the Settings, employees are required to use the "Clock Out" button within the StaffAny mobile app to report any additional hours worked. Managers and Owners gain the ability to Accept or Reject these requests and even adjust the amount of extra time logged by employees during their shifts. In cases where staff attempt to clock out past their shift's scheduled end time and receive approval for late clock-outs, they must submit a Work More Request. This action creates a clock-out record at the scheduled shift end time, alongside the Work More Request.

Approved 'Work More' hours will be officially recorded as part of a staff member's total work hours. Otherwise, when rejected or unapproved, the scheduled shift end time will be used as the clock-out time. The existing Daily and Weekly Overtime (OT) rules remain in effect and continue to be applied.

How to use the Work More Approval Feature

  1. Go to Settings > Select Attendance Approval

  2. Turn on the toggle for Work More Approval feature and click Save

How to Approve, Reject, and Edit the Work More Request submitted by staff

Web App via Notification

  1. Navigate to Notifications (🔔) in the web app.

  2. Click Work More Request section to see the list of pending Work More Reuests

  3. Review by clicking on each request card to navigate to the respective timecard.

  4. You can further approve or reject the request

Web App via Timesheet

  1. Go to Timesheet Tab in Web App > Select a staff individual timesheet that has a discrepancy (!) status

  2. Click on staff’s timecard with Work More Request

    Note: If the clock out is in Red, and the row is highlighted in Red, it shows that there is a Work More Request that is pending approval

  3. To reject a Work More request, Click Reject (red circle) > Click Reject shown on pop-up modal

    Note: The clock out record will fall back to the scheduled time out

  4. To accept a Work More request, click Accept (green circle) >

    1. Accept the Work More Request without editing and/or

    2. Edit the new clocked out timing

5. All actions will be recorded in Timecard History as an audit trail item and all actions can be traced

Note: The clock out record will be updated to the last clock out by the staff (shown in the pop up modal)

Mobile App

  1. On the mobile app, go to Timesheet tab > Click on staff’s timecard with Work More Request

    Note: If the clock out is in Red, and the row is highlighted in Red, it shows that there is a Work More Request that is pending approval

  2. View the timecard history of the shift > Choose to Accept or Reject the Work More Request

  3. To reject a Work More request, Click Reject > Click Reject shown on pop-up modal

    Note: The clock out record will fall back to the scheduled time out

  4. To accept a Work More request, click Accept (green circle) >

    1. Accept the Work More Request without editing and/or

    2. Edit the new clocked out timing

  5. All actions will be recorded in Timecard History as an audit trail item and all actions can be traced

FAQ

  1. What happens if I turn off the Worked More Approval feature while there are still unapproved requests?

    1. The pending Work More Requests will no longer be actioned upon. All Pending Work More Request will no longer be actionable (to be accepted/rejected), and the requested work more hours will not be counted in staff’s total worked hours. However, you can always go to the staff’s individual timesheet and edit staff’s Timesheet records as per usual

  2. What happens if my employee submits multiple “Worked More” request?

    1. You as an owner or manager will still be able to view all the Worked More requests, and you will be able to accept or reject the latest request. Accepting a Work More Request allows you to edit the clock out time directly as well.

  3. What happens when my staff uses the Unscheduled Clock In and Clock Out for the day, will they still be able to submit Work More Requests?

    1. For staff or employees who clocked in and out of an unscheduled shift, any “worked more” submitted will automatically be recorded as their clocked out timing for the unscheduled shift.

  4. By allowing access for "Allow managers to override timesheets", Managers will be able to Approve/Reject Work More Requests and edit Timesheet information.

  5. When an employee submitted a Work More Request, which user that will be notified of such request? Is it only the manager who assigned the schedule to that staff?

    1. No, all of the managers/owners of that staff section will be notified and able to reject/approve the request.

      e.g. if staff clock in OUTLET A, all OUTLET A managers & owners can approve/reject
