Submitting and Reviewing Attendance Requests

Learn how to submit Edit Attendance Request to your Manager for approval

An Attendance Request (also called an Edit Attendance Request) lets a staff member ask a Manager or Owner to correct a clock in or clock out record — for example, when they forgot to clock in, experienced a connection issue, or need to update an incorrect time.

Approved corrections are officially recorded as part of the staff member's total work hours. If declined, the original recorded clock in or clock out time is used.

This guide will cover how to:


Enable Attendance Requests for Your Staff

Before staff can submit Attendance Requests, a Manager or Owner must grant them permission in Settings.

  1. Go to Settings > Attendance Approval.

  2. Scroll to the Edit Attendance Request section.

  3. Search for a staff member by name and check the box next to their name to enable the feature for them.

  4. Scroll up and click Save.

Only staff who have been enabled will see the Send Edit Attendance Request option in their mobile app.


Submit an Attendance Request (Staff)

Staff can submit an Attendance Request from the StaffAny mobile app after they have been enabled by a Manager or Owner.

Who can submit: Any active staff member (Owner, Manager, Supervisor, or Employee) whose attendance request access has been turned on in Settings > Attendance Approval.

General rules:

  • Only one pending Attendance Request is allowed per shift at a time. A new request cannot be submitted if one is already pending or if a Manual Overtime Request or Work More request is pending for the same shift.

  • Requests cannot be submitted for shifts in a locked Timesheet period.

From Daily

Submit from the Daily tab on the same day as the shift. The Send Edit Attendance Request button is visible while the shift card is within the organisation's Shift Visibility window.

Additional conditions for Daily tab:

  • You must have a shift record (assigned shift with a clock-in record, or the shift has ended).

  • For a clock out correction only: use the Work More button instead — an EAR requires a clock in change.

  • If the Send Edit Attendance Request button is not visible: check for an unapproved Unscheduled Clock In / Clock Out request or an unapproved Work More Approval request — these must be resolved first.

To submit from Daily:

  1. Go to the Daily tab and tap Send Edit Attendance Request.

  2. Fill in the Edit Attendance Request form: set your corrected Clock In time, optionally set a corrected Clock Out time, and enter a Remarks (reason). The Remarks field is required.

  3. Tap Submit Request. You will see a Pending approval for edit attendance request notice on your Daily tab until a Manager or Owner reviews the request.

From My Timesheet

Submit from the Timesheet tab for any eligible past shift — including shifts whose Daily tab card is no longer visible.

Additional conditions for My Timesheet:

  • The shift must have already ended and be assigned to you.

  • There must be no pending Attendance Request, Manual Overtime Request, or Work More request for that shift.

To submit from My Timesheet:

  1. Open the StaffAny mobile app and go to My Timesheet.

    1. If you are an Owner or Manager, open Timesheet and tap your own name to view your personal timesheet.

  2. Tap on an eligible past shift to open the shift detail.

  3. Tap Send Request

  4. Select Edit Attendance Request.

  5. Adjust the Clock In and/or Clock Out time. At least one must differ from the currently approved time.

  6. Enter a Reason and tap Submit. The request is sent for approval. After submission, the shift shows a Pending approval for edit attendance request banner.

Note:

  • If there are multiple approver, staff can monitor the approval flow from the status banner update and timecard history

  • If approved, the attendance record is updated.

  • If rejected, you can submit a new request for the same shift.


Review an Attendance Request (Manager / Owner)

Managers and Owners review pending Attendance Requests from the StaffAny web app. All pending requests appear in the Inbox under the Edit Attendance Request tab.

  1. Go to Inbox > Edit Attendance Requests.

  2. The table shows each pending request with the staff name, employee ID, outlet, shift date, and the requested clock in / clock out times.

  3. Click the View (eye) icon to see the full timecard for the shift before deciding.


  4. Hover over the approve or reject button to preview the impact of your decision, then take action.

Approve a Request

  1. Click the green tick button next to the request.

  2. Review the confirmation message, which states the new clock in time (and clock out time, if included) that will overwrite the previous record.

  3. Click Approve to confirm.

Result: The staff member's clock in (and clock out, if included) is updated to the requested time.

Reject a Request

  1. Click the red cross button next to the request.

  2. Review the confirmation message, which states that the clock in (and clock out, if applicable) will revert to the previous time.

  3. Click Reject to confirm.

Result: The staff member's original clock records are restored. The request is marked as rejected.


FAQ

Q: What happens if I submit multiple Edit Attendance Requests for a single shift?

A: Only one pending Edit Attendance Request is allowed per shift. If the request is still pending, staff can update that same request, and Managers/Owners will review the pending version. After it is approved or rejected, a new request can be submitted for the same shift.

Q: I can't see the "Send Edit Attendance Request" button on the Daily tab — what is happening?

A: If you haven't clocked into the shift, the button will appear once the shift has ended and is available within the organisation's Shift Visibility window.

Once you have clocked in, the button becomes available.

Q: Can a staff member submit a request to change only their clock out time?

A: Yes. An Edit Attendance Request can be submitted with only a clock out time and no clock in time if it is done through My Timesheet. However, if you are to update an active shift from Daily tab, you cannot use Edit Attendance Request to update clock out record. To correct only the clock out time after working longer, use the Work More flow from the Daily tab.

Q: Can a staff member have more than one pending Attendance Request for the same shift?

A: No. Only one pending Edit Attendance Request is allowed per shift at a time. The staff can submit another one only after the existing request is approved or rejected.

Q: What happens if the timesheet is locked for the shift's period?

A: Attendance Requests cannot be submitted for shifts that fall within a locked Timesheet period. The submit button will be disabled.

Q: Where do Managers review requests?

A: Pending requests appear in Inbox > Edit Attendance Requests on the web app. Approval and rejection are web-only actions.

Q: Why don't I see the Send Request button on a past shift in My Timesheet?

A: The Send Request button does not appear on a past shift in My Timesheet when any of the following apply:

  • The shift is not assigned to you, or it is ongoing or in the future.

  • The timesheet period is locked.

  • Edit Attendance Request access has not been enabled for your account in Settings > Attendance Approval.

  • There is already a pending Edit Attendance Request, Manual Overtime Request, or Work More request for that shift.

Q: How far back can I backdate an Edit Attendance Request from My Timesheet?

A: There is no fixed time limit for submitting from My Timesheet. You can submit for any past shift that is assigned to you and falls within an unlocked timesheet period. Once a timesheet period is locked by a Manager or Owner, requests for shifts in that period can no longer be submitted. To submit for older shifts, check with your Manager or Owner whether the timesheet period can be unlocked.

Q: What is the difference between submitting from the Daily tab and from My Timesheet?

A: The Daily tab shows your current day's shift and requires the shift card to still be visible within the Shift Visibility window (minimum 6 hours after the scheduled shift end time). My Timesheet lets you go back to any eligible past shift — there is no Shift Visibility window restriction. Both entry points use the same approval workflow.
