What is Progressive Leave Entitlement about?
Under this segment, you will be able to set the leave entitlement for staff based on the number of years of service with you.
Example 1:
You can set 14 days of leave for staff who stayed with you for 1 year only.
Example 2:
You can set 20 days of leave for staff who stayed with you for more than 1 year, eg: 2 years.
To set more leave entitlements for the other staff who stayed with you from a later date onwards, click > Add Year/Period > Input the Days of leave for that respective year.
Leave Request Settings
Under these segments, you can set up assignment settings and whether an attachment is required when requesting leaves.
Allow Leave Assignment
Allow leave assignment settings will be checked by default. If you uncheck the assignment settings, users can't assign leave on Schedule or Timesheets for this leave type. Staff will need to request leave through their mobile apps.
Attachment Required
When settings are checked, staff must attach an image or documentation if they want to request a leave of absence on their mobile apps.
Other Settings
Working day
What if I want to count the leave type as a working day? To count the leave type such as Annual Leaves and MC leaves as a working day within your timesheet export, scroll down to other settings > Select the ‘Working day’ button to enable this function.
Unpaid Leave
You can specify if the leave type represents a time off and is counted as unpaid by checking the 'Unpaid Leave' check box. When selected, the leave taken can be used to deduct the staff's pay.
Default Leave Hour
You can also automatically count the staff’s default working hours (useful for OT calculations) when they go on leave. You can do this by selecting the ‘Default to staff’s leave hours when assigning’ button to enable this function. You can view how to do it through this help article.

How the Entitlement Period Affects Progressive Leave
Progressive leave entitlement works together with the Entitlement Period you have set for the leave type. The period setting controls when a staff member moves to the next leave tier and when their balance is refreshed. It does not change the number of days in each tier.
StaffAny supports two entitlement periods for progressive leave types:
Calendar Year (1 Jan to 31 Dec) — all staff are on the same annual cycle.
Anniversary of employee's join date — each staff member's cycle starts on their own join date anniversary.
Calendar Year
When the entitlement period is set to Calendar Year, all staff move to the next year of service tier on 1 January each year (or on the custom fiscal year start date, if your organisation uses a custom period). Years of service are counted from the start of the calendar year in which each full year is completed.
Example — Calendar Year with progressive entitlement:
Leave type configured: Year 1 = 14 days | Year 2 onwards = 21 days
Staff join date: 1 June 2023

Note: Under Calendar Year, every staff member's balance refreshes on 1 Jan (or the configured fiscal year start). The tier a staff member falls into is determined by how many full annual periods have elapsed since they joined.
Anniversary of Employee's Join Date
When the entitlement period is set to Anniversary of employee's join date, each staff member's leave balance refreshes and their tier advances on their own join date anniversary each year. Different staff will therefore be on different leave cycles.
Example — Anniversary Date with progressive entitlement:
Leave type configured: Year 1 = 14 days | Year 2 onwards = 21 days
Staff join date: 1 June 2023

Note: Under Anniversary Date, each staff member's balance refreshes and tier advances on their individual join date anniversary. The leave balance shown on a given date reflects the entitlement earned in the current anniversary cycle only.
Current Balance VS Entitlement Earned Per Period
These two values are different and it is important to understand the distinction:
Entitlement earned per period — the number of days a staff member is entitled to for the current leave period, based on their tier (years of service). This is what StaffAny awards at the start of each period.
Current balance — the number of leave days remaining after deducting any leave already taken or adjusted during the current period. Current balance = entitlement earned – leaves taken ± adjustments.
Example: A staff member on the Year 2+ tier (21-day entitlement) who has taken 5 days will show a current balance of 16 days, while their entitlement earned per period remains 21 days.
Note: You can view both values on the Leave Balance Report in StaffAny. The report shows the base entitlement (entitlement earned per period) and the remaining balance (current balance) separately.
FAQ
Q: If i give my staff PH Leave balance upfront, should I change the progressive leave entitlement setting if there's a PH that's not being listed initially? (e.g Polling Day in Singapore)
A: No, If you change the entitlement it will affect the leave balance moving forward (including next year balance), in this case we recommend you to use leave adjustment to give PH balance to the staff.
