The Appraisals module allows you to create, manage and keep track of all your review cycles on EngageAny. Say no more to physical paper reviews, being in the dark on who have yet to submit their reviews. Gain visibility and clarity on the progress of your review cycles!
Note: We currently only support Self and Downward Reviews at the moment.

This article will guide you through the process of creating new review cycles, managing review cycles and learning the different roles and responsibilities in a review cycle.
This guide will cover the following:
Managing Templates
Templates define the structure and scoring of your appraisal reviews. StaffAny provides system templates that have been vetted and are suitable for the F&B industry. You can also create your own custom templates to tailor appraisals to your organisation's needs.
Viewing Templates
1) Go to Engage > Appraisals.
2) Select the Templates tab.
3) Select the template you want to view.
Creating a Custom Template
Owners and Managers can create custom templates scoped to their organisation. Custom templates appear alongside system templates when creating a new review cycle.
1) Go to Engage > Appraisals > Templates.
2) Click Create Template.
3) Fill in the template details:
Template Name - enter a name for your custom template. This will be visible to all reviewees using this template.
Description - briefly describe the purpose of this template. This will be visible to all reviewees using this template.
Score Scale - define the scoring scale used in the appraisal. Add between 2 and 10 score levels, starting from 0 with no gaps.
4) Add form Segments. For each segment:
Enter the section name and an optional section description.
Add questions — choose between Radio (scored) and Text (open-ended) question types.
Max 20 questions for each segment
Mark questions as Mandatory if required.
5) Click Save changes to create the template.
Your custom template will now appear in the Templates tab and can be selected when creating a new review cycle.
Editing a Custom Template
Only unused custom templates can be edited. System templates and used custom templates cannot be edited.
1) Go to Engage > Appraisals > Templates.
2) Select the custom template you want to edit.
3) Click Edit.
4) Update the template details as needed.
5) Click Save to apply your changes.
Archiving a Custom Template
When a custom template is no longer needed, you can archive it. Archived templates are hidden from the template picker when creating new review cycles but will not affect any existing or completed cycles.
1) Go to Engage > Appraisals > Templates.
2) Select the custom template you want to archive.
3) Click Archive to move the template to the Archived tab
Creating New Review Cycles
To create a new review cycle,
1) Go to Engage > Appraisals > Appraisals Dashboard
2) Select 'Create New Cycle' button
3) Select the review types that you want to conduct in this cycle.
Review Type | Who does the review? |
Self Review | The reviewee reviews themselves |
Downward Review | An assigned reviewer reviews the reviewee |
4) Fill in the General Information:
Cycle Name - name your review cycle (e.g. H1 2024 Review).
Description - optional description for the cycle.
Template - select a system or custom template for this cycle.
Start Date - when the cycle begins and reviewees are notified.
Final Score Source - choose whether the final score comes from the Self or Downward review.
Include Goals - toggle on to include the employee's goals and weightages in the final score. Learn more about goals here.
5) Select Reviewees — add employees who will be reviewed in this cycle.
6) Assign Reviewers — for Downward Reviews, assign a reviewer for each reviewee. The reviewer must have an access level equal to or higher than the reviewee.
7) Review the Cycle Summary and click Create to launch the cycle.
Viewing and Managing Review Cycles
Viewing Review Cycle
Go to Engage > Appraisals > Appraisals Dashboard to see all active and past cycles. Select a cycle to view its details, participants, and progress.
Different Roles, Responsibilities and Actions

Cycle Statuses
Status | Meaning |
Active | Cycle is in progress — reviewees and reviewers can submit |
Ended | Cycle has been ended by an admin — no more submissions accepted |
Review Statuses
Status | Meaning |
Awaiting Review | Review has not been started |
Submitted | Review has been submitted by the reviewer/reviewee |
Published | Results have been published and are visible to the reviewee |
Changing Reviewers
Owners and Managers can change the assigned reviewer for a reviewee within an active cycle.
1) Open the review cycle and locate the reviewee.
2) Click Change Reviewer.
3) Select the new reviewer and click Save.
Note: The new reviewer must have an access level equal to or higher than the reviewee.
Viewing Review Results
Results are visible to Owners and Managers at all times. Reviewee results are visible to the reviewee only after they are published.
Duplicating Existing Review Cycles
1) Go to the review cycle you want to duplicate.
2) Click Duplicate.
3) Update the cycle details as needed and click Create.
Deleting Review Cycles
1) Go to the review cycle you want to delete.
2) Click Delete.
3) Confirm the deletion.
Note: Deleted review cycles and their data cannot be recovered.
Sharing Review Results
Publish Results
Publishing makes results visible to individual reviewees. You can publish results for all reviewees at once or toggle publish per reviewee.
1) Open the review cycle.
2) Click Publish All Reviews to publish results for all reviewees, or toggle publish for an individual reviewee.
Once published, the reviewee will receive an in-app notification.
Print/Download as PDF
1) Open the review result for a reviewee.
2) Click Print / Download as PDF to export the review result.
Exporting Final Scores
Export a full summary of final scores for all reviewees in a cycle to an Excel (.xlsx) file.
1) Open the review cycle.
2) Click Export Scores.
3) The exported file includes: Employee ID, Reviewees, Reviewers, Final Score (%), Review Status, Goals (Score and Comments), and all Template Questions.
Note: Final Score is calculated as a weighted combination of goal scores and template section scores.
