Learn how to allow staff to submit edit attendance requests, and how to approve or decline their request

Selected staff can now submit edit requests for their clock in/out times directly from the mobile app. This helps employees who forgot to clock in/out, experience lagging when clock in/out, etc. Managers and owners need to review and approve/reject these requests within the app.

Approved hours will be officially recorded as part of a staff member's total work hours. Otherwise, when declined, the original recorded clock in or clock out time will be used. The existing Daily and Weekly Overtime (OT) rules remain in effect and continue to be applied.

Do note that the usual timeclock validations will not be in effect when an edit attendance request is submitted. We recommend to enable this feature for staff who need it more. For example:

  • Staff who regularly face issues with their device that prevent them from clocking in / out properly

  • Staff who often have to start work outside of the outlet (e.g. banks)

Enabling or Disabling Edit Attendance Request

You can select specific staff to enable the edit attendance request feature for them.

To enable the feature,

  1. Go to Settings > Select Attendance Approval

  2. Select the relevant staff to enable the feature for

  3. Press Save

To disable the feature for staff, follow the steps above but ensure that the checkbox is left unchecked


Approving or Declining Edit Attendance Request

All section managers and owners will be able to approve or decline edit attendance requests. Do note that a manager or owner's ability to manage these requests also depends on the permission group setting: “Manage timesheets & work more approval (for manager & owner access level) for own sections”.

Approving or declining requests can only be done on the web app now.

Web app via Notification

  1. Navigate to Notifications (🔔) in the web app.

  2. Go to Pending Timesheets > Edit Attendance Request to see the list of pending edit attendance requests

  3. Click on each request card to navigate to the respective time record, where you can approve or decline the request.

  4. You may click into the time record to view timesheet history before deciding to approve or decline the request.

    1. If the request is declined, the time records will revert to the original clock in and clock out time.

    2. If the request is approved, the time record will be updated with the new time.

      1. The existing Daily and Weekly Overtime (OT) rules remain in effect and continue to be applied.

      2. If the new timing results in a potential timesheet discrepancy, it will also be logged in our Timesheet Issues feature.


FAQ

  1. What happens if I disabled the Edit Attendance Request feature for a staff while there are still unapproved requests?

    1. You will still be able to approve or decline their existing requests. However, staff will no longer be able to submit new requests.

  2. What happens if my employee submits multiple Edit Attendance Requests for a single shift?

    1. Owners or managers will always view and manage the latest edit attendance request for that shift

  3. What happens when my staff uses the Unscheduled Clock In and Clock Out for the day, will they still be able to submit an Edit Attendance Request.

    1. The Unscheduled Clock In and Clock Out request must be approved first before staff can submit an Edit Attendance Request

  4. Can my staff submit both Edit Attendance Request and Work More Request?

    1. No, staff can only submit ONE request at a time. If staff would like to change the type of request, section managers or owners should approve or decline the initial request.
