Calculate and change hours for unpaid breaks in timesheets

StaffAny allows managers to easily schedule and accurately track breaks, saving time counting unpaid break deductions when consolidating timesheets.

Note: StaffAny currently only supports Unpaid Breaks.

(i.e.Break time scheduled and tracked will be deducted from worked hours)


Break Rounding

StaffAny’s “Break Rounding” feature helps calculate and round off the balance and excess Break times, saving you time from manually calculating for each staff.

If a staff’s schedule break is 60 minutes but only took 45 minutes.

With “Break Rounding”, the final break timing on Timesheets will be 60 minutes

If a staff’s schedule break is 60 minutes but took 75 minutes.

With “Break Rounding”, the final break timing on Timesheets will be 60 minutes

If the staff went for break when there was no break duration scheduled, the default minutes will be 0

(e.g: Staff took 30 minutes break when they were not scheduled any break duration, the system will show the break duration taken as 0 minutes )

Staff will automatically have their break hours rounded to scheduled break hours.

The total break duration will always round to 60 mins, regardless of the actual break time clocked (E.g. 24 mins or 75 mins = rounded to 60 mins).

Setting up Break Rounding

To set up Break Rounding:

  1. In the Web App, Go to “Settings” > “Timeclock SIdekick”


  2. Switch on “Break Rounding”

Note: If break rounding affects the staff’s total work hours, make the necessary amendments to the clocked hours. Learn how to do so here


Checking and Editing Unpaid Breaks in Timesheets

Viewing Break Records in Timesheets

The Individual Timesheet will show the final break duration deduction, based on the scheduled break for that shift, actual break taken, and your break rounding settings.

Any breaks taken will also be logged and show up on the Timecard. The timecard will also leave an audit trail.

To view this information:

  1. In the Web App, Click on “Timesheets” > Click on the Staff’s Name

  2. Click on the timing of the selected date > view the audit trail

Break Discrepancies in Timesheets

You can view the break discrepancies of your staff in “Timesheets” inside the Web App

To get to Timesheets:

  1. In the Web app, Click on “Timesheets

When your staff forgets to track breaks taken on the app, a "no break" icon will show up under the “Status” Column.

You can see the number of times your staff have forgotten to take breaks in a selected date range in the status column.

Editing Breaks in Timesheets

You can also manually override the final break duration deduction in the timesheets:

To edit breaks:

  1. In the Web App, Click on “Timesheets” > Click on the Staff’s Name


  2. Click on the timing of the selected date > Edit the timing of “Unpaid Break“ > Click Save


Viewing Break Records in Export

After checking through that all breaks taken are correct, and other timesheet information is accurate, you can export your timesheets. The timesheet exports will only reflect the final break duration deduction

FAQ

  1. What should my settings be if I want to give 60 mins unpaid breaks for my staff?

    • Set the scheduled break as 60 mins and turn on break rounding.

  2. What happens when a staff takes a 45 mins break and the scheduled break is 60mins?

    • The break will still be rounded up to what the scheduled break duration is (eg, 60mins) and we count that as 60mins unpaid break time.

  3. What happens if I want to give paid breaks to my staff?

    • StaffAny currently only supports Unpaid Breaks. Break time scheduled and tracked will be deducted from worked hours.

    • If you want to give paid breaks to staff, do not use the scheduled break feature and your staff will not be required to clock in and out from break.

  4. What break timing shows up on Timesheets and Timesheets export?

    • When break rounding is used, final break duration will always be rounded to schedule break duration

    • When break rounding is not used, the final break duration will use scheduled break as the minimum. If break taken is greater than scheduled break timing, it will count the actual break taken.

    • This table shows how the final calculated break value will be in Timesheet export

    • When break duration is overridden, the exact amount of break time recorded will be of this overridden amount
