Leave Setup: Probation and Unused Leaves

Learn how to set up probation and unused Leaves

When the leaves can be taken

  1. In Web app, go to Settings > Off and Leave > Leave Types.

  2. Choose a leave type > Click More > Click Edit.

  3. Scroll down until you see Leaves can be taken.

    After probation period of X months

    You will be able to set the number of months as the probation period. Choosing this option means that staff can only take the leave after the X number of months with the company.

    Example:

    Probation period: 3 months

    Staff joined date: 1st Jan 2022

    The date that staff can start taking the leave: 1st April 2022

    Although a probation period has been set, the users with manager or owner access level (E.g. HR) can still override it for exceptional cases like awarding staff annual leave for their excellent performance even when they are on probation.

    Note: Staff on probation will not be able to apply leaves, but can still see their entitlement balance.

    Immediately

    All entitled leaves for the entitlement period can be taken immediately and not restricted by the probation period.

  4. Click Save.


What happen to unused leave

  1. In Web app, go to Settings > Off and Leave > Leave Types.

  2. Choose a leave type > Click More > Click Edit.

  3. Scroll down until you see Unused leaves can be.

    1. Carried forward to the next period by fixed amount

      Choosing this option will indicate that the employees are allowed to carry forward unused leave to the next cycle.

      You can set the number of months before the carried-forward balance expires; and the carry-forward limit by a fixed number of days.

    2. Carried forward to the next period by percentage
      Choosing this option will indicate that employees are allowed to carry forward a percentage of their base entitlement to the next cycle.

      You can set the number of months before the carried-forward balance expires; and the percentage of the base entitlement that can be carried forward.

      For example, if the staff receives 12 days of entitlement in a year and you set the carry-forward limit to 50%, they can carry forward up to 6 unused days. Rounding to the nearest 0.5 days will be applied.

    3. Forfeited at the end of the period

      Choosing this option will indicate that all the staff’s entitled unused leave will be forfeited at the end of the entitlement period and will not be carried forward.

  4. Click Save.
