When your staff clocked in without having a shift assigned to them, you can approve these shifts to record the actual worked hours or reject the request.
This guide will cover the following:
Web App via Notification
On StaffAny, click the notification bell on the navigation bar
Click the “Pending Timesheet” tab > “Unscheduled Clock In” tab to see all the pending unscheduled clock requests you need to attend to.
Click on a staff’s card to manage the unscheduled clock request
You will be redirected to the staff’s individual timesheets where you can view all unresolved timecards over a 3-month range.
Approve or reject the request
Web App via Timesheet
In the Web app, go to Timesheet > Select the desired time frame and/or Section Staff/Hours to view your Timesheet.
Click on a staff with an unscheduled shift request to view the clocked records.
Approve Request
Click ✓ to approve.
Click an existing shift (if any) to link.
Or,
to link this request to a new shift, click Add new shift + button > Insert shift timing and Role > Click Add.
The system will automatically create the shift in the Schedule page.
Note: If no shift timings are entered, the shift created will follow the clocked timings.

Bulk Approve / Decline Unscheduled Shift Requests
You can approve or decline up to 50 unscheduled shift requests at once from the Inbox.
Go to Inbox → Timesheet Requests → Unscheduled Shifts.
Click Select 50 to select the first 50 pending requests, or manually tick individual rows.
Click Approve Selected (N) or Decline Selected (N).
Review the confirmation dialog and confirm.
How approvals work:
If the staff had a scheduled shift that day, the request is approved against that shift.
If there was no scheduled shift, a new shift is created.
Note: The bulk action cap is 50 requests. If you select more than 50, the buttons are disabled with the message “Bulk action max 50 items”. Use Clear Selection to deselect all and start again.
