This guide will cover the following:


Create Your Own Challenge (CYOC)

You can create a challenge of your own based on your organisation’s requirements. The progress of the challenge will be managed manually by you. This challenge can be used to track everything else that cannot be tracked in StaffAny. You can enable proof submissions where participants submit either photo or remarks to verify that the goal has been achieved. You will need to approve or reject those submissions. Under Proof Type, there are 3 types of proof that you can choose from:

  • Photo + Remarks: Participants need to submit photo(s) and remarks as proof for the completion of the challenge.

  • Remarks Only: Participants need to submit remarks to complete the challenge.

  • No Proof: Participants do not need to submit proof to complete the challenge.


Setting Up Reward Settings & Milestone(s)

When configuring the Reward Milestones, you will need to input the rule and the amount of coins that staff will be awarded.

Note: Coins will only be given out when the submission is approved by the Owner or Manager. The participant will receive the coins automatically. If you have multiple milestones set up, you need to select a milestone upon approving a submission. Learn more here.


Viewing Challenge Progress

The challenge table displays various information as follows:

  • Name: Name of Participant

  • Progress: Progress Status of participant

  • Coins earned: Shows amount of coins that each staff earns.

  • Submitted Proof: If a proof is submitted, you can view it here.

  • Milestone Achieved: Shows which milestone participants achieved.

  • Approved Date: Date when the proof submission is approved.

  • Action: Approve/reject proof submissions.

Note: If a proof submission is rejected, participants can resubmit their proof. Once a proof has been approved, participants are not allowed to submit any more proof.


How to end challenge and disburse coins

There are 2 ways for ending a challenge:

  • Time Triggered

    • The challenge will naturally end based on the date set in the challenge end date when you create the challenge.

  • User Triggered

    • The challenge ends when the user selects “End Challenge” or its equivalent found in the Challenge Details page or on the Challenge card in the Dashboard.

  1. One Time Challenge

    1. Time Triggered & User Triggered

      1. Chalenge will cease.

      2. Participants are notified that the challenge has ended.

      3. Owners and managers cannot make changes to the list of participants.

      4. Participants cannot submit their proof once the challenge has ended.

      5. Owners and managers can still approve or reject proof submissions.

  2. Recurring Challenge

    1. Time Triggered

      1. Current challenge cycle will end.

      2. Participants are notified that the challenge has ended.

      3. The next recurring cycle will commence.

      4. Owners and managers cannot make changes to the list of participants.

      5. Participants cannot submit their proof once the challenge has ended.

      6. Owners and Managers can still approve or reject proof submissions.

    2. User Triggered

      1. Stop the current and future recurring cycles of the challenge.

      2. Participants are notified that the challenge has ended.

      3. Owners and managers cannot make changes to the list of participants.

      4. Participants cannot submit their proof once the challenge has ended.

      5. Owners and Managers can still approve or reject proof submissions.
