How to create and manage claims with PayrollAny?

How to setup claims

Setup the shift questions

To collect and store receipts or invoices from your staff, you can use the Shift Questions feature by contacting our Customer Support via the green chat button to help you set it up. Explore more about shift questions here. In the shift questions you can tell the CS team to create the following questions:

  1. Photo of receipt using Attachment Link

  2. Date of claim using Text

  3. Amount using Number

  4. Remarks using Text

Setup the pay item

Before processing payroll, you need to create a new pay item for Claims with the following setting:

  1. Name: Claims

  2. Category: Net Addition

  3. CPF Type: No CPF

  4. IR8A Code: Not Taxable

  5. Default amount: 0 (amount can be customized for each staff later during editing payroll)

  6. Allow Proration: No


How your staff can use claims

Make sure to create a schedule so staff can fill in shift questions in their mobile app when they clock in and out.

How to process claims for Payroll

  1. Later managers can view it in staff’s timesheet or export individual timesheets and scan through all the claims. If valid, managers can sum the amount per staff.

  2. After running the payroll, go to Edit Payroll and click Mass Edit Payroll to bulk add the pay item. Learn more here on how to use Mass Edit Payroll.


    Enter the approved total amounts from Timesheet Export to Mass Edit Payroll sheet in the Claims pay item and add remarks (optional) in the far-right columns.

    You can also manually add the pay item by following these steps:

    1. Click on Add Pay Item dropdown

    2. Select Claims

    3. Override the amount and add remarks (optional)

  3. Lastly, you can save and publish the payroll to disburse payslips to your staff. Learn more about Publishing Payroll here.


What it will look like on Payslip

Since Claims is set as a non-CPF and non-taxable pay item, it will appear under Earnings Non-CPF at the right side of the payslip.
