How to Publish Payroll

  1. After finalizing the payroll, select the payroll you want to publish. Click on the Publish button.

  2. A window will appear where you can select the payment date and set the date on when the payslip is sent to employees. The payment date is also displayed on the payslip as the Payment Date. However, the payment date will not show up in the bank file and the date set in the bank file will be set separately during downloading the bank file.

    1. Now: Publish payroll immediately

If the pay date is scheduled to a certain date, the employee will receive their payslip at approximately 8 AM on the selected date.
Note: To avoid delays in payment processing, please avoid scheduling the pay date on weekends and bank holidays.

  3. Click the Publish button

  4. Once published, the payroll status will change from “Pending” to “Published”. Please check and refresh your browser accordingly if you do not see any changes.

How to Unpublish Payroll

If you discover any discrepancies after publishing the payroll, you can easily unpublish it to make adjustments and then publish again. To unpublish the payroll:

  1. Go to the Payroll page and select Payroll List. Then select the payroll you want to unpublish. Click on the Unpublish button.
Important note: You cannot unpublish any payroll that has already been published. Only the most recently published payroll can be unpublish.

  2. A confirmation modal will appear and click on Unpublish Payroll.

  3. Your payroll will be unpublished and:

    • Payroll status will change to “Pending” and payroll can be adjusted/edited. You can publish the payroll again after making changes.

    • Employees will be notified and their previously published payslip will be removed from the mobile app.

    • Payment Date in the employee’s payslips will be updated as “Unpublished”.

    • Unpublishing payroll updates only the payment date on the latest payslip, making previously downloaded versions unaffected. Employees must re-download the latest payslip to access updated information.

Frequently Asked Questions

Q: Why can't I publish the payroll (publish button is grey/disabled)?

A: If you have multiple payroll runs within a month, you must publish the oldest one first to ensure accurate CPF calculations.

Q: I just realized that my old payroll has some wrong data. How do I unpublish only for that specific payroll?

A: To do so, you need to unpublish all future payrolls within the current month, future months are not affected. For example, you want to unpublish & edit “Jan-001” payroll but you already published "Jan-002" and "Jan-003" payrolls.

You should unpublish the “Jan-003” and “Jan-002” respectively first. By unpublishing the payrolls, it also means that:

  • Payroll statuses will change to "Pending" and can be edited. After making changes, you can publish the payrolls again.

You can't unpublish Jan-001 directly. If you need to unpublish your old payroll without unpublish other payrolls, please contact our Customer Service via green chat button on the right side.
