Learn how to set approval routes for requests in your organisation.
Use Approval Routing to choose who approves each request type. Set a default route for staff who join later, or update routes for existing staff.
This guide will cover how to:
1. Understand Approval Routing
Approval Routing is available in Settings > Team Management > Approval Routing. Only Owners can open and change these settings.
The page has two tabs:
Default Routing sets the approval route used for new joiners.
The default routing for each requests are as follow:
Manual Overtime -> All manager and owner
Edit Attendance → section’s manager/owner
Unscheduled Shifts → section’s manager/owner
Work More Request → section’s manager/owner
Individual Routing applies routing changes to staff who are already in your organisation.
For the migrated request types, you can configure routes for Edit Attendance, Work More Request, and Unscheduled Shifts. Each route requires a Stage 1 approver. Stages 2 and 3 are optional.
2. Set Default Routing
Set the default route when new staff should follow the same approval arrangement.
Go to Settings > Team Management > Approval Routing.
Open the Default Routing tab.
Find the request type you want to configure and select Edit.
Choose an approver for Stage 1. You can choose a section-specific group, an organisation-wide group, or an individual staff member.
Set Stage 2 and Stage 3 when additional approval is required. Otherwise, leave each stage as Not Applicable.
Select Save.
The saved route becomes the default for new joiners. To change routing for current staff, use Individual Routing.
3. Update Individual Routing
Use Individual Routing when existing staff need a different route from the organisation default.
Go to Settings > Team Management > Approval Routing.
Open the Individual Routing tab and select the staff whose routes you want to update.
Choose the request types to update.
For each approval stage, choose Default to use the organisation default, select a group or individual approver, or choose Not Applicable for optional stages. Choose No Change to retain the current setting for that stage.
Select Save.
Only the selected request types and stages are updated. A setting left as No Change remains unchanged.
