Choose between GPS, Geofenced, WiFi!

Platform: Web

A Section can be explained as locations, worksites or planning units in your organisation. For example, outlet A, store A, bar A, kitchen A, front of house, back of house and etc.

You are required to set up a Timeclock Method for each section.

Do note that Timeclock Method is different from Scheduling Method:

Types of Timeclock Methods

To modify the section's timeclock method:

  1. In Web app, go to Settings > Click on Sections > Click on the section you want to set up.

  2. Click on Attendance & Timeclock > Scroll down until you see Timeclock Method. Available options:

1. GPS Timeclock

This option allows you to track staff attendance from anywhere. When your staff clocks in and out at any location, StaffAny app will capture their current location. This option is great for mobile workers (E.g. event helpers, delivery man & technicians) in your organisation.

2. Geofenced Timeclock

This option allows your staff to clock in and out based on the section location and a defined radius. This aims to prevent staff from clocking in/out at any location.

Additional Steps to Setup:

  1. Insert the Latitude, Longitude and Radius of the section.

  2. On browser, go to Google Maps > Search for your store location.

  3. Right click on the red location pin > Click once to copy the numbers.

  4. Insert the numbers into Latitude and Longitude > Insert 50 - 100 in Radius (at least 50m is recommended due to phone GPS inaccuracy especially in buildings/basements).

    You may click on the map to double check and shift the blue location pin accordingly.

  5. Click Save. You are done!

3. WiFi Timeclock

This option allows your staff to clock in/out based on the WiFi access points that have been assigned and linked to your organisation account. Your staff will have to connect to the assigned WiFi.

Additional Steps to Setup:

  1. Proceed to set up access points on your Mobile app.

    In Mobile app, go to More > Click on Section Wifi Settings.

  2. Click on Add Network.

  3. Follow the instructions to set up.

Note: Please ensure your Location Service (GPS) of your phone has turned on in order for the scanning to work.

For iPhone users, you will need to download the AirPort Utility app to scan available networks before copying the information needed and pasting it in StaffAny app as shown:

Please note that Geofence and WiFi Timeclock will NOT store location data on the timesheet.

4. Dynamic QR Timeclock

This option allows your staff to clock in/out via a QR code displayed from an in-store device that changes every 5 seconds. Learn how to set up dynamic QR here.


Additional Verifications

List of additional verifications options:

1. QR Code (Static)

You can toggle on With QR code. This will require your staff to scan the QR code displayed in the section whenever they clock in/out and start/stop break.

2. Live Facial Recognition with Photo Evidence

This new verification option enhances security by using biometric facial recognition.

When enabled, the system:

  • Captures a live photo of your staff during clock-in/out using the front camera.

  • Verifies identity via facial recognition in real-time.

  • Requires a smartphone with a front-facing camera.

This option ensures that the correct staff member is on-site and clocking in personally.

3. Photo

To enforce a stricter clocking system, you can toggle on With Photo. This will require your staff to take a photo when they clock in/out and start/stop break. This provides an additional proof of their attendance.

4. None

You can toggle on None if you do not require your staff to provide additional verification. This will allow your staff to be able to clock in/out and start/stop break after the Geofence verification is completed.


FAQ

Q: Is it possible to set up WiFi Timeclock Access Points for Multiple Locations at once?

A: Yes, you can set up for multiple location at once, however you need to do this in one sitting as well. For example:

  • Scan router in location A

  • move to location B without confirm/finish scan yet

  • Scan router in location B

  • move to location C without confirm/finish scan yet

  • Scan router in location C

  • Finish the scan.

Q: Is there a limit on how far these access points must be?

A: No, currently there's no radius limitation on each eaccess points.

Q: Is there a limit on how many access points I can set up?

A: No, there's no limit on how many access points you can set up.

Q: What should I do if I want to add/remove new access points for wifi timeclock?

A: To remove, you can simply go to the section settings on your WebApp to remove the access points by using the "X" button beside it.

Adding however, you either need to repeat the process when setting up (Scanning each of the network one by one), or you can provide us with the BSSID and SSID of your connection so that we can help to add it for you from our side.

Staff do not have a smart phone? They can still clock in using Web Timeclock.
