For Employees:

Q: Why can't I see my schedule?

A: You are not able to see your schedule because your section's schedule has not been published. Please check with your manager if the schedule has been published.

Q: Can staff see other staff schedules?

A: Staff with Employee access level can only see their own schedule. Refer to this access level article to find out more about what the access level pertains.

For Managers:

Q: How do staff check for their upcoming shifts?

A: On the mobile app, go to Schedule tab, select the week they want to see their shifts and it will appear accordingly.

Q: Does StaffAny allow staff to indicate when they are available to work?

A: Yes, we have a few scheduling request options for them to choose from - Day Availability, Shift Availability.

Q: What if the staff was assigned a shift but took MC/Urgent Leave at the last minute, what should I do?

A: You can un-assign the shift first then assign the MC or Urgent Leave to staff in the Schedule page. Refer to this video https://www.loom.com/share/81157817f18c4989abc266cb39389b4f for more details.

Q: What should I do if I need to lend staff to other outlets?

A: You can use the Send Support Staff feature on Schedule. Refer to this send support staff article link to find out how. We also have the option of assigning staff from other outlets as well.

Q: Can I copy shifts over to other weeks?

A: Yes, there is a Copy shift button that allows you to copy over to subsequent weeks in advance so you do not need to redo your schedule from scratch. You can refer here on how to copy.

Q: How do I assign a second shift to staff? E.g. Split shifts in a day

A: You can find out more from this video - https://www.loom.com/share/6cf06548f7864488b93875c39c9e21fd

Q: Are there any shortcut keys that I can use to schedule faster?

A: Yes, click on Command (Macbook) or Ctrl (Windows) once to trigger the Drag and Drop Shift Slots to Copy footer in the Schedule page. You can now click on the shift you would like to copy over to the respective day and staff to assign. If you wish to move the shift slot to another staff, simply close the footer and drag over to the other cell to assign.

Q: Do I need to publish the schedule again when I make changes?

A: No, you only need to publish the week's schedule once. You can still make any changes if needed, it will be reflected accordingly to the staff mobile app. Staff will also get a notification for any changes made so they will be up to date of these changes

Q: I tried deleting a shift but the pop up message said that I can’t delete the shift as it already has clocked records, what does this mean?

A: This means either the staff has clocked into the shift or Manager/Owner amended the clock in/out timings on Timesheet. When this happens, you will not be able to delete or unassign the shift. To delete the shift, please send an email request stated in this delete clocked record article.

Q: How do I add a new role?

A: To add a new role, refer to the steps listed in the setting up roles article.

Q: What does "+1" mean?

A: "+1" is used to indicate that the staff will clock out on the following day from the day the staff is supposed to clock in.

Here's an example of such cases. The staff will clock in at 15:00 and will clock out at 00:00 next day.

This also applies on the Timesheet side.

Q: If the night shift's duration is on monday (22:00 to 06:00 (+1)). Is it considered monday's work or tuesday's work?

It will be considered monday's work because staff has clocked in on Monday, 22:00.

Q: What does the green tick on schedule mean?

A: The green tick is used to indicate that the staff has acknowledged their schedule. You can read this article to find out how it works.

Q: Is there a way to prevent assigning a staff who's already requested a leave?

A: By default, our system will warn you if you're assigning a staff that's already have a leave on that specific day/week.

But you'll still be able to assign the shift by pressing the "Assign Shift Anyway" if there's such cases that a staff have leave and a shift on the same day.
