This article will guide you on how to set up your StaffAny account (including Payroll and EngageAny)

Step 1: Account creation

We will inform you through a text message on Whatsapp when it's ready. This will take 1-2 businesss days after payment is received. Once it's ready you can go through either the Web App (Managers and Owners access level only) or the Mobile App (All access level can access)

Web App: Go through https://app.staffany.com and use your registered phone number to login.

Mobile App: You can download the StaffAny app directly through your device app provider (App Store for iOS, Play Store for Android, App Gallery for Huawei Device) or go through our download page here.


Step 2: Setting Up Section and Staffs

Step 2.1: Setting Up Section

By going through Settings > Sections you can edit your section name, Section tag and your section adresses


To set up your Scheduling and Timeclock method, go to Settings > Sections > Scheduling & Timeclock

Step 2.2: Adding Staffs

Every staff account is attached to a specific phone number, so do ensure that the numbers provided are up to date.

To add a new staff, go to My Teams > Add Staff


Step 3: Leave policy

Different organisations offer different leave types. At StaffAny, the most frequently used leave types have been pre-set within the system for your convenience.

  1. Annual Leave

  2. Medical Leave

  3. Unpaid Leave

  4. Off Day

Other than these default leave types in StaffAny, you can also flexibly create, edit and manage leave types to customise to the unique needs of your business.


Step 3.1: Leave balance

If you need to edit/adjust your staffs leave balance, you can edit your staff's leave balance directly in StaffAny app instead of doing it manually on spreadsheets. The balance will be auto adjusted according to the number of approved leaves your staff has.

You can do this by going to Settings > Off & Leave > Mass Update

Note: If you are doing a leave migration and setting up leaves in StaffAny, we recommend following this steps first to ensure you have accurate leave balance from pro-ration and migration. Do also ensure that the updated balance is correct as of the target implementation date.


Step 4: Scheduling

The Schedule page is split into 2 parts - Shift Templates at the top half, and Assigned Shifts to staff appear at the bottom half.

Shift Templates allows you to set custom staff requirements for each shift.

Step 5: Timesheet

StaffAny's Timesheet gives you a bird eye's view of your staff's clock records

To access timesheets on your Web App, simply click on the Timesheet tab on the top bar.

All clocked records and changes made to Timesheet and published Schedule will be shown under Timecard History.

Sometimes you will have an exclamation mark on your timesheet, this is a Pending Timesheet Records. Take note that without resolving these requests, your timesheet will not be reflected accurately. So make sure that you've cleared all of these pending request first before processing your timesheet!

There are multiple penting timesheet records, at the moment it consists of:

  • Missing Clock out

  • Pending Leave Request

  • Pending Unscheduled Clock In request

  • Pending Work More Approval

Missing Clock out

When staff do not clock out, you are required to fill in their clock out time for them. Otherwise, the hours worked by the staff will not be recorded in the timesheet.

Pending Leave Request

Pending leaves will not be reflected unless they are approved/rejected.

Pending Unscheduled Clock In Request

When staff clock in for a shift that is not scheduled for them. It is reflected as an Unscheduled Clock In. Without approving these clock ins, the shift will not reflected on the timesheet.

Pending Work More Approval

Work More Approval is a feature to prevent unnecessary overtime, and must be approved before being reflected on the timesheet.

Step 6: Setting Up Payroll

Step 6.1: Setting Up Business Entity & Pay Item

Before adding employees and running payroll, we need to set up the business entity. Every employee must be tagged to the correct entity before you can run payroll for them.

There are 6 default pay items that our system provides. Each staff will be entitled to these pay items depending on their wage type. Here is the breakdown of each pay item:

If you have additional pay items besides StaffAny’s default pay items, you can create customized pay items based on your needs

The following steps is on how to create a new Additional Pay Item:

  1. Click on the Pay Item sidebar menu, and you will see the default Pay Item that already exists on the wage card on my team page.

  2. To create a custom pay item, click the Create New Pay Item button.

Step 6.2: Setting Up Your Staff Information for Payroll

To ensure accurate payroll processing, complete employee data thoroughly, including personal information like race and religion (for SHG), citizenship (for CPF), detailed wage, and banking details.

After you are done with setting up the Business Entity and Custom Pay Item, you can move to the My Team page and select the staff to complete the rest of the Payroll data. There will be new payroll specific fields to fill up.

To do this you can fill up staff data manually through the MyTeam page one by one or using Mass Edit feature to edit for multiple staffs.

Step 6.3: Running your Payroll

After setting up a business entity, pay items, and filling up the employee information. You will be able to run the payroll.

Step 7: Setting Up EngageAny

Step 7.1: Create Your Challenges

With EngageAny, You can increase your workplace performance by setting up challenges where employees can participate to win and earn coins!

With those coins, employees can redeem various rewards from the Reward Catalogue!

Firstly you need to make sure that you're using our EngageAny feature, then you can start creating challenges by going to StaffAny > EngageAny > Challenges

Step 7.2: Create Rewards

The rewards catalogue houses all the rewards that your staff can claim with their coins. Here, Owners and managers can manage the rewards staff can see, including creating new rewards, editing existing rewards, and activating/deactivating rewards.

Currently we have 2 types of rewards:

  1. StaffAny Fulfilled Rewards (SFR)

  2. Company Fulfilled Rewards (CFR)

What is the difference between SFR and CFR?

  • StaffAny Fulfilled Rewards: These rewards are managed by StaffAny. No admin work needed from your side! Just select from a wide range of rewards such as E vouchers from various shops.

  • Company Fulfilled Rewards: These rewards are managed by you. You will need to create them and conduct all the necessary administrative work such as approving and giving the rewards.

Step 7.3: Create Appraisals

The Appraisals module allows you to create, manage and keep track of all your review cycles on EngageAny. Say no more to physical paper reviews, being in the dark on who have yet ot submit their reviews.

Frequently Asked Questions

Q: My company signed up for both Payroll and EngageAny but the option is not accessible? What should I do?

A: If you already made your payment, please reach out to us via Intercom.


Q: I got an issue with my StaffAny app, what should I do?

A: You can contact our Support Team directly via Intercom. On the WebApp, there will be a green colored button at the bottom right of the screen. Click on it.

If you're using the Mobile App. You can reach our support team by either going through the "More" tab, and then select the "Help" button or using the Contact Support button that's showing in lots of the clock in/clock out process related in our app.


Q: I have questions regarding StaffAny, do you have any Q&A Session that I can join into?
